Program Assistant 

 (Part Time: 25 hours a week, Hybrid from the Arlington, VA area)

$25 per hour 

Role Description 

The Program Assistant will support structures and processes facilitating the organization’s Mentoring, Scholarship, scholar and alumni support, and parent and family engagement programs. They will demonstrate good judgment in various situations, possess strong written and verbal communication, administrative, and organizational skills, and effectively balance multiple priorities.

Program Operations Support 

  • Supports Mentoring Program by maintaining online library 
  • Streamlines the intake of information (applications) from three core programs (Mentoring, Scholarship, and Scholar and Alumni Support programs)
  • Supports the Operations Director in the execution of the scholarship application process and ensures required material  is submitted by all applicants (requires follow up with scholars)
  • Work on-site Dream Project Program and fundraising events.
  • Manage and update data on Salesforce, Google drive, the online mentoring library, and other Dream Project systems. 
  • Maintain accurate records on students and notify appropriate staff if  support is needed. 
  • Supports planning and executing scholar and alumni events including the Dream Summit and other workshops throughout the year. 
  • Support the Executive Director and Operations Manager in the development of the evaluation of three core programs (Mentoring, Scholarship, and Scholar and Alumni Support)
  • Manages the distribution of surveys and evaluations and ensuring proper recording of the data. 
  • Manage and update information on scholarship recipients on salesforce and provide reports when requested on scholar data and demographics, participation, and renewal eligibility requirements. 
  • Coordinates annual picnic (Mentors and Mentees)
  • Under supervision of Operations manager Create and maintain a database of parents in Salesforce (to include parents of new Mentees)  
  • Under supervision of Operations manager Plans and handles logistics for the Annual Parent’s Dream Summit and year around workshops 
  • Administer and update the Parents’ WhatsApp line. 
  • Control scholars engagement in Beyond12 or our coaching services.

Education: 

  • Bachelor’s degree 

Preferred Knowledge and Skills  

  • Demonstrated experience working with immigrant and refugee students.
  • Strong attention to detail and ability to maintain accuracy of information and programs
  • Ability to work independently after assignment is given 
  • Demonstrated proficiency in using MS Office Suite, virtual collaboration platforms (e.g. Google Meet, Zoom) and database systems (e.g. Salesforce) with a willingness to learn and utilize new and emerging technologies
  • Flexibility in adapting to and implementing new business and operational procedures
  • Bilingual proficiency (Spanish required)
  • Access to vehicle and willingness to travel and transport material for DP events
